Industry & Specialised department

Process improvement, run as a standing capability

Processes drift. A workaround becomes the norm, a step gets added after one bad week and never removed, and nobody remembers why approvals take five days. Nexoryl runs process excellence as a managed department: mapping how work really flows, finding the causes of delay and error, and making improvements stick, remotely and with your teams.

Engagement
A process assessment, then improvement projects or a monthly retainer.

Overview

What is process excellence?

Process excellence is the ongoing discipline of understanding how work actually flows, measuring it, removing waste and errors, and standardising the improved way of working so it lasts.

It draws on established methods such as Lean and Six Sigma, but the core is simple: see the real process, measure it, fix causes rather than symptoms, and check that the fix worked.

Nexoryl model

What does Nexoryl's Process Excellence department do?

It improves your processes as a standing capability: mapping current workflows, setting baselines, finding root causes, redesigning steps, writing standard work and checking results against the baseline.

Customer-facing workflows are covered in depth by Customer Operations & Enablement. Where a redesigned process needs automation, AI & Automation builds it.

Responsible for
Process discovery and mapping, baselines and measurement, root-cause analysis, process redesign, SOPs and standard work, and improvement tracking.
Not included
On-site time-and-motion studies, physical workplace or factory layout changes, and organisational restructuring decisions.

The improvement cycle

How a process gets improved, and stays improved.

Six stages based on the DMAIC method used in Six Sigma, kept practical and fast.

  1. 01

    Define

The process, its customer and the problem, agreed with the process owner.

  2. 02

    Map

The current workflow mapped with the people who do the work.

  3. 03

    Measure

Baseline time, errors and volumes taken from real data.

  4. 04

    Analyse

    Root causes separated from symptoms.

  5. 05

    Improve

Steps removed, simplified, standardised or automated.

  6. 06

    Control

Standard work, measures and owners so the gain holds.

Why processes stay broken

Four reasons improvement efforts fail.

Most failed improvements didn't lack effort. They skipped a step.

01

Nobody knows the real process

Shows up as
The documented process and the actual one have little in common.
We look at
How work really flows, step by step, with the people doing it.
What changes
A current-state map everyone agrees is accurate.
02

Fixing symptoms

Shows up as
The same errors come back after every fix.
We look at
The root causes behind repeat errors and delays.
What changes
Fixes aimed at causes and checked against the baseline.
03

Improvements that fade

Shows up as
A new process works for a month, then old habits return.
We look at
Ownership, standard work and measures after launch.
What changes
Standard work, an owner and a control measure for every change.
04

Automating a bad process

Shows up as
Software bought to fix a process nobody simplified first.
We look at
Which steps should exist at all.
What changes
Simplify first, then automate with AI & Automation where it pays.

What the department covers

Process excellence services.

From understanding the current process to keeping the improved one in place.

Process discovery

The process as it really runs.

  • Stakeholder interviews
  • Current-state process maps
  • Handoff and approval analysis
  • Process inventories

Measurement

Baselines that show where time and errors go.

  • Baseline measures
  • Cycle time and error analysis
  • Process data extraction
  • Dashboards with your data team

Root-cause analysis

Causes, not symptoms.

  • Five whys and fishbone analysis
  • Pareto analysis of errors
  • Variation analysis
  • Problem statements

Redesign

A simpler, clearer process.

  • Future-state maps
  • Fewer steps and approvals
  • Clear roles and responsibilities
  • Automation opportunity assessment

Standard work

The improved process written down and followed.

  • SOPs and work instructions
  • Checklists and decision trees
  • Training material outlines
  • Version control

Continuous improvement

Improvement as a habit, not a project.

  • Improvement backlog
  • Monthly improvement reviews
  • Benefit tracking
  • Improvement playbooks

How remote delivery works

How a process improvement engagement runs.

Changes are piloted with a small group before rollout, so nothing breaks at scale.

  1. Step 1: Prioritise

Processes chosen by pain, volume and value.

  2. Step 2: Map and measure

Current state mapped with your team and baselined from real data.

  3. Step 3: Analyse

Root causes identified and agreed with the process owner.

  4. Step 4: Pilot

Changes tried with a small group and measured.

  5. Step 5: Embed

Standard work, owners and control measures put in place.

Nothing changes without the process owner's sign-off, and improvements are measured against the baseline before they're reported as gains.

Scope and boundaries

What's included, and what stays with you.

Process work done remotely, with your teams. Physical workplace changes are outside the department.

Included

  • Process mapping and documentation
  • Baselines and process measurement
  • Root-cause analysis
  • Process redesign and pilots
  • SOPs and standard work
  • Improvement tracking and reporting

Not included

  • On-site time-and-motion studies
  • Physical workspace or factory layout changes
  • Organisational restructuring or HR decisions
  • Building automation, which AI & Automation handles
  • Guaranteed savings figures

What you provide

  • A process owner for each process
  • Access to process data and systems
  • Time from the people who do the work
  • Sign-off for piloted changes

Measurement

How process improvement is measured.

Every improvement is compared with its baseline, then checked again later to confirm it held.

Speed

  • Cycle time
  • Waiting time between steps
  • Approval time

Quality

  • Error and rework rate
  • First-time-right rate
  • Repeat issues

Effort

  • Steps and handoffs removed
  • Manual touches per case
  • Time saved, as measured

Sustainment

  • SOP adherence
  • Control measures within target
  • Improvements still in place after 90 days

These are measurement categories, not promised figures.

Who does the work

The people improving your processes.

Small, experienced teams working closely with your process owners.

Process Excellence Lead

Owns the improvement backlog, method and reporting.

Process Analysts

Map, measure and analyse processes, and run pilots.

Documentation Specialist

Writes SOPs, work instructions and checklists.

A good fit when

  • Approvals and handoffs slow everything down
  • The same errors keep coming back
  • Processes differ from person to person
  • You're about to buy software to fix a process

Probably not the right fit when

  • You need factory or workplace layout changes
  • You need on-site time-and-motion studies
  • You want savings promised before any measurement

Ways to start

Three ways to begin.

One well-chosen process is the best first project.

01

Process assessment

Your most painful processes reviewed and prioritised by value.

02

Improvement project

One end-to-end process mapped, measured, improved and embedded.

03

Managed process excellence

A standing improvement function on a monthly retainer.

Fees depend on the number and size of processes, and are agreed after the assessment.

Questions

Questions about process excellence.

If your question isn't here, email us. The best starting point depends on which processes hurt most.

What is process excellence?

The ongoing practice of mapping how work really flows, measuring it, fixing the causes of delay and error, and standardising the improved process so the gains last.

Do you use Lean or Six Sigma?

Both inform the method, particularly the DMAIC cycle and Lean waste removal, but the approach is kept practical rather than certification-heavy.

Can process improvement be done remotely?

Yes. Interviews and workshops run by video, maps are built in collaborative tools, and measurement uses data from your systems.

How is this different from automation?

Process excellence decides which steps should exist and simplifies them. AI & Automation then automates what's left, where it's worth it.

How is this different from Customer Operations & Enablement?

Customer Operations & Enablement focuses on customer-facing workflows and enablement. Process Excellence works across any business process.

How do you measure improvements?

Against a baseline taken from real data before anything changes, then checked again later to confirm the improvement held.

Who decides what changes?

The process owner. Changes are piloted, measured and signed off before rollout.

What do you need from us to start?

A process owner, access to process data, time from the people who do the work, and a list of the processes that frustrate people most.

Next step

Fix the process behind the symptoms.

Tell us which process frustrates your team most. We'll map it, measure it and show you where the time and errors go.
